We are looking to recruit a Personal Assistant responsible and accountable for the provision of high level of administrative support. The outputs in the form of documentation, customer service, diary management must be of a high standard.
Key Accountabilities:
- Manage diary
- Coordination of meetings and appointments
- Attend telephone calls, assessing and resolving enquiries where & when appropriate
- Handle & prioritise incoming mail
- Draft general correspondence signature
- Coordinate regular internal meetings and telephone & video conferences/ multi-time zone meetings. This includes meeting facilities, preparation & circulation of agenda if required
- Plan, organize and arrange the travel itinerary including but not limited to ticket and hotel bookings, and other documentations related to the travel
- Support Management Team on a required basis
- Process and update business reports.
- Ensure that confidential and sensitive business information is protected
- Ensure that all filing, maintenance of records, file management and day to day activities are undertaken to the required standards
- Coordinate with relevant Group Function on any issues relating to physical office maintenance and upkeep
Qualifications and Experience:
- Bachelor Degree in any discipline.
- Minimum 5 years of experience in executive administrative support and travel booking management
- Proficient in MS Office applications i.e. MS Word, Excel & PowerPoint
- Excellent verbal and written communication skills
- Strong organisational skills and attention to details
- Ability to work under pressure
- Flexibilility and multitasking
- Understanding the core business functions and the organizational strategic direction.
- Ability to maintain high degree of confidentiality
